Tips to Design Conference Room That Can Really Impress Your Clients

In any business environment, it is necessary to have conference room so that business meetings can be conducted in a comfortable manner. Any well-designed conference room can certainly make lots of impact in the minds of your clients. In case, the conference room happens to be uncomfortable and stuffy then there cannot be any innovative idea while discussion is going on. Your client will prefer to avoid discussing further and find some excuse to run away from your premise.

You may use following tips while you decide to create new conference room design in your company.


  • Brainstorm about various needs of your clients


You may form a team with group of few executives of your company and give them a task to brainstorm and find out various needs of your clients to make them comfortable during any meeting. You will notice many innovative ideas that will emerge out of this brainstorming season, which perhaps has never occurred to you before. It is not necessary that you have to consider all the ideas that were generated during the session, but use those which are really implementable and within your budget.


  • Think of proper table configuration


There can be many different table configurations during the meeting. however, with U-style, you can provide an opportunity to every member of the meeting to interact with the speaker. Class room style can allow more number of people to accommodate. So, you can decide which style will be more appropriate.


  • Choose the right room for conference


It is better to choose the room in such a location where there is very little chance of any distraction. Usually, any room near the CEO’s cabin is the right place. However, it depends upon the culture and environment of your company. Certain colors of the walls too, make lot of difference. For example, if the color is blue then people will be more relaxed and if the color of the wall is red then your clients may become too argumentative.


  • Proper setting of lights


You may allow little natural light into the conference room, but it will be better to cover the windows with blinds and shades. The following things must be considered about the lights -


  1. Lights used inside the room should not generate heat in the room
  2. Wall color must complement with the light
  3. Prefer to use LEDs for lighting
  4. Avoid using flickering lights like tube lights



  • Proper screen


Choose the size and position of the screen in such a manner that it is visible to every member present in the meeting room. Also, it should not be too close to the audience. Also, choose right projector with proper mountings.


  • Provide amenities


Keep provision for coffee maker and mineral water in a suitable manner so that every member can easily access them during the meeting.


  • Conduct a mock meeting


Having designed your conference room conduct a mock meeting and find out if there is any flaw that can be corrected.
